Before the meeting
We issue notices within the required period, prepare the agenda and board papers, and confirm that the meeting is properly constituted, including quorum and the giving of any special notice the business requires.
For annual general meetings and extraordinary general meetings we prepare the accompanying documents and confirm that the resolutions proposed are of the correct type.
During and after
Our director attends the meeting and records the proceedings directly, which produces a more accurate record than reconstructing them from notes afterwards.
We prepare the minutes and the written resolutions arising, circulate them for approval, and enter them in the minute book. Any resulting lodgement with SSM is made as part of the same exercise.
